If you're setting up payroll in Xero and can't find your category listed under Linked Categories, it’s likely due to one of a few common setup issues.
Here’s what might be causing the problem and how to fix it:
Option 1: The category was created with the incorrect account details or set-up
To check and edit the Account Details:
- Go to Accounting > Advanced > Chart of Accounts
- Click on the Account Name to view the details of the account, such as the account code, account name, account type, description, and tax setting.
- Edit the account details to accurately reflect the information specified in your course material, practice exercise, or assessment requirements.
Option 2: The category created was not properly saved
- Once all required fields have been accurately completed, make sure to click the “Save” button located at the bottom of the account creation form. This action will finalize the setup of your new account.
- Confirm that the category has been saved. From the Chart of Accounts, use the search bar to look for the newly added category by name or account code. If it appears in the list, your category has been successfully saved and is now ready for use.
Option 3: The account is archived
If the account was archived, it won’t appear in the Linked Categories dropdown.
- In the Chart of Accounts, check the archived section
- If the account is listed there, restore it to make it available again
Option 4: You're not in the correct company file
If you’re using a different Xero file (not the Demo Company used in training), some preset accounts or structures might be missing.
Ensure you're working in the Demo Company if you're following course instructions, as this includes pre-set accounts that align with the learning material.
